Summary: The Administrative Assistant is responsible for supporting an Executive team, in tandem with a Sr. Administrative Assistant. They will play an important role in enhancing multiple Executives’ effectiveness by performing a wide variety of complex, diverse, sensitive and confidential administrative functions, while providing overall gatekeeping and information management support.

This position is hybrid, with the expectation of three to four days in person in NFP’s Austin office.  

Essential Duties and Responsibilities:

  • Act as gatekeeper to multiple Executives, understanding priorities in the organization and providing high level administrative support.
  • Schedule and manage calendars for multiple executives.
  • Schedule internal and external meetings and coordinate logistics for meetings/lunches (reserve and set up conference rooms, order catering, prepare meeting agenda, A/V technology as needed).
  • Arrange corporate travel by developing itineraries and agendas, booking transportation, and arranging lodging and meeting accommodations.
  • Process invoices and expense reports, reviewing for accuracy and submitting for approval.
  • Track, order and organize department equipment and supplies.
  • Handle personal matters as necessary.
  • Commitment to culture requires a demonstration of professionalism, accountability, customer/client focus and teamwork.
  • Provide a bridge for smooth, accurate communication between the Executives and internal departments; demonstrating leadership to maintain credibility, trust, and support.
  • Actively participate with the Administrative support team on a variety of activities associated with NFP Austin.
  • Other duties as assigned.

      Knowledge, Skills, and/or Abilities:

      • Proficiency with Microsoft office products including Word, Excel, Outlook and PowerPoint
      • Ability to leverage the internet to research and retrieve information
      • Ability to express ideas clearly in written and oral communications
      • Strong organizational skills and ability to prioritize tasks
      • Strong problem-solving and time management skills
      • Thorough attention to detail
      • Ability to maintain strict confidentiality when appropriate
      • Proven ability to work individually or collaboratively as part of a team
      • Experience with Concur a plus

      Education and/or Experience:

      • At least five years’ experience as an Executive Assistant supporting one or more Executives, preferably in Financial Services or Insurance. 
      • College degree or equivalent industry related experience preferred

The base salary range for this position is $42,000 to $72,000.  The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
