Position Summary:

The Client Service Representative/Administrative Assistant plays a vital role in ensuring smooth day-to-day operations of the office while providing high-level support to the executive team. This position requires a proactive, organized, and service-oriented individual who thrives in a dynamic environment and can manage multiple responsibilities with discretion and professionalism.

Essential Duties and Responsibilities:

  • Hospitality & Office Environment
    • Greet guests warmly and professionally; offer and serve beverages.
    • Manage meeting logistics including catering and company events.
    • Maintain cleanliness and organization of kitchen, file room, copy/supply room, and conference rooms.
  • Administrative Support
    • Open, scan, and distribute incoming mail; manage outgoing packages.
    • Answer and direct incoming phone calls.
    • Order and restock supplies for the café, pantries, production room, print areas, and conference rooms.
    • Track and order office equipment and supplies
  • Executive Assistance
    • Review the calendar of the Senior Director daily and anticipate team needs.
    • Provide logistical support for meetings and travel for the sales and account management teams.
    • Schedule internal and external meetings and appointments for executives and assigned personnel.
    • Review and route incoming and outgoing correspondence.
  • Employee & Guest Support
    • Serve as a problem solver for employees and guests, assisting with any issues or requests.
    • Greet scheduled visitors and ensure a welcoming experience.
  • Policy & Compliance
    • Support management in implementing and enforcing company policies and expense reimbursement systems.
    • Maintain confidentiality with all client and employee information.
  • Other Responsibilities
      • Assist with miscellaneous projects and perform other duties as assigned.

The base salary range for this position is $32,000 to $45,000.  The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
